Collegiate Academy Administrative Assistant
Job Description
Reports To: Dean of Secondary Programs
Summary of Job Duties:
The administrative assistant provides support to the Dean by performing the organization, clerical and management duties of the office. They are responsible for greeting and directing visitors and students, responding to inquiries from staff, the public, parents, students, etc. by providing requested information and/or referral to other parties; and providing general clerical support as assigned by the Dean. This position reports to the Dean of Secondary Programs.
Job Location: UAHT Hope Campus
Responsibilities:
- To be responsible for managing the office by greeting and assisting visitors, students, parents, and staff.
- To be responsible for maintaining phone calls.
- To be responsible for maintaining all student attendance activity and student files.
- To assist the Dean of Secondary Programs and HCA director with secretarial duties.
- To organize and create the school calendar of events for the year.
- To be able to work in a fast-paced environment.
- To handle multiple tasks at any given time.
- To maintain composure in times of stress.
- To assist other personnel and students with computer problems and questions.
- To maintain updated and accurate files of general correspondence and business documents.
- To create and prepare various forms used by the collegiate academy.
- To maintain an alphabetical, numerical, or simple subject matter filing system.
- To arrange meetings for administration.
- To maintain data, statistics, and other information and prepare reports, as required.
- To assist in maintaining efficient office operations by providing clerical relief as needed.
- To interact effectively with the general public, staff members, students, teachers, parents, and administrators using professionalism and good judgement.
- To operate standard office equipment.
- To assist with study halls.
- To assist in the classroom when an instructor is absent.
- To perform additional duties and responsibilities as assigned by the Dean or the HCA director.
Position Qualifications:
- Minimum of high school diploma. Some college preferred.
- One (1) year of successful experience with proven interpersonal skills and multi-tasking abilities in a job-related field.
- Ability to apply basic computer programs (spreadsheet, Microsoft word, Excel, PowerPoint, Google, and others) to enhance job performance. (Others could include HAC, TRIAND, eSchool, BlackBoard)
- Knowledge of the Collegiate Academy.
- Ability to establish and maintain effective working relationships with staff and the school community.
- Ability to speak clearly and concisely both in oral and written communication.
- Ability to perform duties with awareness of all federal, state, and district/college requirements.
- Ability to solve practical problems and deal with situations appropriately to meet job expectations.
- Ability to maintain professional relationships with students, parents, faculty, staff, and supervisors.
